Generate a Title/Copy Data report

The Title/Copy Data report lets you extract title and copy information in an XML format.

You can import the XML into a number of applications. For instance, you can import the file into a spreadsheet program, delete any columns you don't want, and then sort and filter the data to create custom lists and reports.

To generate the report:

  1. Select Reports > Library Reports.
  2. Under Statistics, click Title/Copy Data.
  3. Use the Call Numbers from and to fields to enter a range.

    Notes: You can limit to one call number or a range.

    • All call numbers: Leave both fields blank.
    • One call number: Enter the same call number in both fields.
    • Up to and including a specific call number: Leave the From field blank, and enter it in the to field.
    • A specific call number and all those after it: Enter it in the From field, and leave the to field blank.
  4. To include patron data associated with each transaction, select the Include associated Patron Data checkbox.
    Note: This checkbox only appears for users with the Access library checkout history or Access media checkout history permission.
  5. Click Extract. The Report Manager appears.
  6. Find your report and click the View link, or download the file by clicking XML.

Report Contents

The file does not include any data about deleted copies or deleted patrons.

If a title record has multiple standard numbers, the file includes only the first one.

For each copy, the file contains the following information:

  • Copy Barcode Number

  • ISBN
  • Material Type
  • Publication Year
  • Status
  • Date Last Accounted For
  • Date Acquired
  • Purchase Price
  • Copy Number
  • Vendor
  • Circulation Type
  • Total Circulations
  • Circulations This Year
  • Circulations Last Year
  • Circulations This Month
  • Circulations Today
  • Short Site Name
  • Due Date (only if the copy is currently checked out)
  • Date Checked Out (only if the copy is currently checked out)
  • Sublocation
  • Copy Number
  • Patron Type
  • Description/Enumeration 1

If you chose to extract the associated patron data, the file also includes the following information for each current transaction:

  • Last Name
  • First Name
  • Middle Name
  • Patron Barcode
  • District ID
  • Description/Enumeration 1
  • Graduation Year
  • Grade Level
  • Homeroom
