Generate a Preventive Maintenance report

The Preventive Maintenance report lets you create a list of maintenance tasks you have defined on the resources' templates.
It allows you to quickly view what needs to be done, who needs to do it, and when it is due.

You can generate a report by custodian or date range.

Note: This report option only appears in Reports when you have set up preventive maintenance on at least one resource template.

To generate the report by Custodian:

1. Select Reports > Resource Reports.
2. Under Catalog -- Resources & Items, click Preventative Maintenance. The report setup page appears.
3. Do any of the following:
   1. If you are a district resources manager, next to For, select the site owning the resource items.
   2. From the Select by drop-down, select Custodians.
   3. To limit the report to specific custodians, click Update, and then search for and select them.
   4. To Start a new page for each custodian, select the checkbox.
   5. To Limit report to maintenance due today only, select the checkbox.
4. Click Run Report.

To generate the report by Date Range:

1. Select Reports > Resource Reports.
2. Under Catalog -- Resources & Items, click Preventative Maintenance. The report setup page appears.
3. Do any of the following:
   1. If you are a district resources manager, next to For, select the site owning the resource items.
   2. From the Select by drop-down, select Date Range.
   3. For Maintenance due, specify the desired date range.

      Notes: Click the calendar icon for a calendar. You can limit to one date or a range. Today: Select Today. Important: The accuracy of a report for today's maintenance depends on the completion of the overnight Daily Preventive Maintenance processing. All dates: Leave both fields blank. One date: Enter the same date in both fields. Up to and including a specific date: Leave the From field blank, and enter a date in the to field. A specific date and all those after it: Enter a date in the From field, and leave the to field blank.

4. Click Run Report.

Report Content

By Custodian

A report by Custodian lists:

• Custodians alphabetically
• Resource name
• Maintenance description
  
• Barcode numbers of each item needing maintenance
• Date needed
  

Note: If you generate this report at a site, the report includes the maintenance tasks for only the custodians of your site.

By Date Range

A report by Date Range lists:

• Resource name

• Maintenance description

• Custodian

• Barcode numbers of each item they are responsible for

Note: If you generate this report at a site, the report is limited to items owned by the site; it may include custodians at other sites.
