Generate a Headings without Authority report

The Headings without Authority report finds the author, subject, or series headings in the bibliographic records that do not have corresponding authority records. A complete authority file gives patrons cross-references to additional resources in the collection.

Generate this report:

  • After importing new bibliographic records.
  • When supporting classroom curricula.
  • When creating authority records or adding 4xx tags to them.
  • To find bibliographic records that may need editing.
    Note: To update all occurrences of a particular heading at once, use the Update feature in Catalog > Update Titles.
Important: For the report to be meaningful, the database must contain both bibliographic and authority records.

To generate the report:

  1. Select Reports > Library Reports.
  2. Under Catalog -- Titles & Copies, click Headings without Authority. The report setup page appears.

  3. Use the Select by drop-down to choose a method to search the database:
    If you choose...Then...
    Title or Call Number

    Select the title or call number range.

    Notes:

    • You can limit to one title or call number, or a range.
      • All titles or call numbers: Leave both fields blank.
      • One title or call number: Enter it in both fields.
      • Up to and including a specific title or call number(alphabetically): Leave the From field blank, and enter a title or call number in the To field.
      • A specific title or call number and all those after it (alphabetically): Enter a title or call number in the From field, and leave the To field blank.
    • You cannot use wildcards (?, *) in ranges.
    Date Title Added or Date Title Updated

    Enter the date range, or use Calendar icon. to select the dates.

  1. Choose the type of headings to examine: Subjects, Authors, and/or Series.
  2. To Include Title Details, select the checkbox.
    Note: If selected, the report lists the title, author, and standard number from each qualifying bibliographic record.
  1. Click Run Report.

Report Contents

The report includes:

  • Headings in your bibliographic records that do not have corresponding headings in your authority records.
  • A total count, for each heading, of those bibliographic records.
  • An Edit Title link to open and correct the bibliographic record.
  • If the Include Title Details checkbox is selected, the report also lists:
    • Title
    • Author
    • Standard number

Tags Examined

For each heading type, the process examines the following tags in the bibliographic records:

  • Subjects: 600, 610, 611, 630, 648, 650, 651, 655, 657, 658, 690-699
  • Authors: 100, 110, 111, 700, 710, 711
  • Series: 400, 410, 411, 440, 490, 800, 810, 811, 830

The process compares the selected bibliographic tags to the following tags in the authority records:

100, 110, 111, 130, 150, 151, 155
